Our client is one of the market leaders in GT production cars and sports cars. Their car races are famous among the globe. Our client is an international team that values, professionalism, meritocracy, innovation and continuous development. They are now seeking a Event Administrator / Administration Assistant who support the relevant administration tasks of their signature car racing events.
§ Responsible for the coordination of the administrative matters for the signature sport cars races
§ Liaise with the outsourced staff in charge of spare parts management to obtain the necessary information from customers
§ Ensure implementation of company processes for Finance and Administration matters
§ Follow up and control the invoices related to the event issued and explain them to the customers
§ Coordinate with the Finance team about the invoices of spare parts, tires, wrapping, accessories and repairs to issue, to ensure that invoices are sent to each customer
§ Perform additional technical services requested by customers and follow up the execution of those services.
§ Assist in control of Spare Parts inventory and decide, in coordination with Series Director and Regional After Sales Director and local After Sales manager, the necessary top-ups to ensure sufficient level of inventory to perform service during the following races
§ Raise Purchase Requests, follow up with approvers and obtain Purchase Orders, Create Payment Voucher
§ Issue and send debit notes and/or invoices to customers for racing services and materials sold
§ Coordinate with Finance team on payments to suppliers, outstanding payments from customers, create and maintain the outstanding follow-up table
§ Miscellaneous activities assigned by line managers; support other administrative job in Hong Kong office if needed
Education and Experience Requirements
§ Bachelor's Degree holder or Tertiary Diploma with substantial relevant experience is welcomed.
§ 1~3 years related work experience in sales/marketing/after sales administration, preferably automotive
§ Candidates with accounting and financial administration experience and interested in automotive events would also be welcomed
§ Fluent in spoken and written English and Chinese
§ Be flexible to work during weekends to support APAC Challenge as needed
§ Proficient with all MS Office software: Words, Excel, PowerPoint
